This is a guide to help you use, understand and manage the Personal Files tool. The Personal Files tool is an online storage place for files you want to store in your Canvas account. It has a maximum capacity of 200 megabytes (MB).
The Personal Files tool differs from the Files tool you may see in the pane on the left in your courses. That Files tool contains the files that the instructor uploads to that specific course and can only be accessed within the course.
To access your personal files, select the Account button in the pane on the left. Then select Files.
Keep your files organized by using folders. Select the folder into which you want to add a subfolder and then select +Folder. Type in a name for your folder and then select the checkmark.
To add files select Upload. To add a file to an existing folder, open the desired folder and then select Upload. You can also upload zip folders with the Upload button.
To preview a file, select the empty space between the name and creation date to select the item. Then select the preview button at the top of the page.
To download files in a particular folder as a zip file, select the folder in the pane on the left that includes the subfolder you want to download. Select the space between the name and creation date of the folder to select the folder. Next, select the Download icon at the top of the page.
To move a file or folder, select the empty space between the name and creation date of the file/folder to select it. Next, select the move icon at the top of the page.
Select the folder to which you want to move the file/folder. You can copy the file to your course files or personal files from this window. Select the course and then the folder to which you want to move the item and then select Copy to Folder. To move the file to a different folder within your personal files, select a folder under My Files at the top and then select Move.
You can also move a file within your personal files by selecting and holding the item and then dragging it to a new folder in the pane on the left.
To delete a file or folder, select the empty space between the file name and creation date to select the file/folder, and then select the trash can icon at the top of the page.
To rename a file or folder, hover your cursor over it, select the gear icon that appears on the right, and select Rename.
How to manage your space
Each user is given 200 MB of personal file storage in his/her Canvas account. Whenever you upload an assignment, profile picture, etc., you use up some of this storage. However, once you reach the maximum, you will no longer be able to upload content. This tutorial will show you how to check how close you are to the limit and how to delete content you don’t need to free up space.
Select the Account button in the pane on the left. Then select Files.
Look at the bottom left corner. You will see how many MB you are using out of 200 MB.
If you are approaching the limit, you will need to delete some files. If you have files that you don’t need, select the empty space between the name and creation date of the item to select the item. To select multiple files, select the first file, hold down Ctrl on your keyboard, and then select the other files. Then select the trash can icon at the top of the window.
If you have some files that you don’t need in your Canvas account, but you don’t want to delete them, you can download the files onto your computer. To do so, select the empty space between the name and creation date of the folder/file and then select the Download button at the top of the page. You can select multiple items by selecting the first file, holding down Ctrl on your keyboard, and then selecting the other items. Once the item(s) has downloaded, you can follow step 4 to delete the files.
